Privacy Policy

This notice explains what Build Specs ("Build Specs", "we", "us", or "our"), the legal entity and seller operating build-specs.com, collects, why, and what we do with it. Build Specs is the data controller for the personal data described here.

1. What we collect

  • Account data — your email address and authentication data needed to sign you in.
  • Build data you enter — vehicles, systems, parts, specs, notes, and any other records you create.
  • Files you upload or forward — receipts, invoices, PDFs, order emails, spreadsheets and photos of your vehicle and its components, including anything sent to your per-build email import address.
  • Data extracted from those files — part names, vendors, prices, quantities, order numbers and similar details pulled out of your documents by automated processing so they can become editable part records.
  • Basic operational data — logs and error reports generated when you use the service, used to keep it working and secure.

We do not collect or store your card details. Payment information is collected and processed by Paddle, our Merchant of Record.

2. Why we use it, and on what basis

  • To create and run your account and provide the features you asked for — necessary to perform our contract with you.
  • To process your documents into part records and answer questions against your own build data — performance of contract.
  • To keep the service secure, prevent fraud and abuse, and diagnose problems — our legitimate interests.
  • To send service and account emails (confirmation, password reset, trial and billing notices, referral notices) — performance of contract.
  • To comply with legal obligations where they apply.

We do not sell your data, and we do not use your build data to advertise to you.

3. Who we share it with

  • Supabase — our database, authentication and file storage provider. Your account, build data and uploads are stored there.
  • Paddle — our Merchant of Record, for the sale of subscriptions, payment processing, subscription management, invoicing and sales tax/VAT compliance.
  • Email providers — used to deliver our transactional emails and to receive documents you forward to your build import address.
  • AI processing providers — used to extract part details from documents you upload and to answer questions about your own build records.
  • Hosting and infrastructure providers that run the application.
  • Professional advisers, and authorities where we are legally required to disclose.

4. Retention

We keep your account and build data for as long as your account exists, so your build history stays intact. If you delete your account, or ask us to delete it, we remove your personal data and uploaded files, except where we must keep limited records (for example transaction records) to meet legal obligations. Operational logs are kept for a short period and then discarded.

5. Build transfers

If you use the ownership transfer feature to hand a build to a new owner, the build's records, parts and uploaded documents move to the account that redeems the transfer code. Only transfer a build if you intend the recipient to have that history.

6. Your rights

You can request access to your data, correction of inaccurate data, deletion of your account and data, a copy of your data for export, restriction of or objection to certain processing, and withdrawal of consent where we relied on it. Email support@build-specs.com and we will respond within one month. If you are in the UK or EEA you also have the right to complain to your local supervisory authority.

7. International transfers

Our providers may process data outside your country, including in the United States. Where data leaves the UK or EEA, transfers rely on appropriate safeguards such as standard contractual clauses or an adequacy decision.

8. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and per-account database rules so accounts can only reach their own records. No system is perfectly secure, but we take this seriously and act on issues we find.

9. Cookies

We use only essential cookies and local browser storage — to keep you signed in and to hold a local copy of your data so the app works smoothly. We do not use advertising cookies. Paddle may set cookies needed to run checkout. You can clear cookies and local storage in your browser, which will sign you out.

10. Changes and contact

We may update this notice as the service changes; the "last updated" date above will change and material updates will be communicated in the app or by email. Questions or requests: support@build-specs.com.
